Office Coordinator

Job Summary

The Office Coordinator provides office operational support with a variety of reception and clerical responsibilities. This role is fitting for an individual who is efficient and comfortable being a member of a team. The ability to multi-task while remaining organized and providing integral team support is essential in this position. The ideal candidate for this job is resourceful and a good problem solver. Ensuring a steady completion of workload in a timely manner is key to success in this position.

 

General Duties and Responsibilities 

  • Assists with troubleshooting technology issues;
  • Facilitates daily office opening and closing procedures;
  • Assists in ordering, receiving, stocking, tracking and distributing office supplies;
  • Greets clients and visitors;
  • Answers telephone, checks voicemail, and directs calls;
  • Writes and retrieves messages;
  • Receives, sorts, and forwards incoming mail; 
  • Assists with vendor and sub-tenant coordination; 
  • Coordinates emergency evacuation procedures and serves as internal fire marshal;
  • Maintains and coordinates the conference room reservation system;
  • Maintains clean and organized common areas (pantry, reception area, collaboration areas, conference spaces, copy room, etc.);
  • Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.); and
  • Other duties as assigned.

 

Qualifications

The ideal candidate will have:

  • Three plus years of professional office coordination experience in a corporate environment with increasing responsibility;
  • A professional personal presentation;
  • Strong written and verbal communication skills;
  • Proven research ability;
  • Ability to work effectively and accurately under limited time constraints;
  • Strong knowledge of computers and Microsoft applications (Word, Excel, PowerPoint, etc.);
  • A positive service-oriented attitude; and
  • Experience with sensitive or confidential information.
